Objective of Job Role


As the Training Administrator, you are to ensure the smooth running and profitable utilization of JC International's Training facilities (training room, computers, projectors, frames, labs, workshops, simulators, and other resources).


Responsibilities


Training Facility Functionality Management – Ensure that the facilities and assets are maintained according to JC Training Divisions maintenance program.

Course Delegates Management – Hospitality, Training materials quality management, Feedback forms review, 1st Day Reception, Closure speech, Gifts and take-aways management.

Accreditation compliance – Ensure that training deliveries comply with specific program accreditation requirements.

Business Development – Work with the BD Executives, Customer Services, and Digital Marketers to enhance sales promotion, effective marketing, and profitable utilization of the Training Divisions Assets (Rigging frame, RA, NDT, Scaffolds, Confined Space, Cranes, Forklifts, and all IADC, LEEA, DPR, IOSH, IWCF, OPITO, & IADC-DIT Accreditations.

Sales Management – Work with the BD Executives, and training department staff to exceed periodic sales targets.

Cash & Cash Flow Management – Work with the team to ensure instant payment, error-free Invoice Submission, and Debt recovery.

Office Administration – Work with the Office Administrative Officer to ensure compliance to our business culture and functionality of the training assets.

Cleaners Management - Work with the Office Administrative Officer to ensure compliance to our business culture and functionality of the training assets.

Oversees activities of Outsourced Staff - Work with outsourced staff to ensure compliance to JCI values and cultural promotion.

Fame Retainership – Ensure JCI’s image promotion through timely issuance of error-free training certificates and weekly feedback review and reporting to the Training Manager.

Coordinate course enrolment, registration, weekly training schedule, and smooth running of training programs.

Welcome trainees on their first day of training and attend to their needs throughout the training duration within JC Training centre.

Be responsible and accountable for training department assets - classrooms, canteen, tables, chairs, rigging loft, simulators, changing rooms, PPEs, Rope Access facilities, OPITO rigging frame, NDT Lab, confined space, televisions, projectors, and writing tools.

Establish and maintains student files, ensuring all personal, financial, and academic records are well- kept.

Maintain the training database and certificate register for future references and authenticity claim.

Allocate classrooms and ensure training equipment and materials readiness, post notices on all classroom doors.

Be responsible for accreditation compliance with relevant accreditation bodies (National & International)

Responsible for managing students’ certificate validity software for re-validation and students’ rebooking reminder.

Work with storekeeper to ensure stock of all training materials, souvenirs, and stationaries.

Compile a weekly, monthly, and quarterly course plan and timetable.

Publish course registers and collate completed registrations.

Send out Joining Instructions

Print and issue all certificates ensuring compliance with data protection.

Check daily readiness of the classrooms and schedule any maintenance issues.

Create weekly training meeting minutes.

Receive course notes and materials from the facilitators and organize printing.


Qualification / Experience


B.Sc/HND in related field

Minimum of 3year of post qualification experience in similar role

Computer literacy is a must

Digital Marketing Skill will be added advantage
