Core Responsibilities
The Business Support Executive (PA) will be the principal executive and administrative support person for the GCEO thereby performing a vital important role.
He / She will have a sincere interest in the continuous improvement of the performance of the company, possess excellent administrative and relational skills, value attention to detail, and be able to handle a variety of activities and tasks.
Job Duties
Correspondence and Document:
Prepare and preview hard copy and electronic mails on behalf of the CEO; provide accuracy checks on basic data and documents requiring the CEO signature
Sort and distribute the CEO's mails and memos
Prepare and arrange the collation & biding of documents for presentations as directed
Ensure all documentation is appropriately filed for ease of reference and efficient retrieval.
Be friendly and personable while managing heavy communications and calendar scheduling (requiring interaction with both internal and external executives and assistants, as well as consultants, clients, co-workers and the general public) to coordinate various complex meetings.
Handle social media platforms of the GCEO by projecting the brand of the organisation in a positive limelight.
Calendar Management:
Pro-actively coordinate, monitor and manage CEO's personal appointments and diary
Meeting Management:
Take and distribute Minutes of Meetings when required.
Administration:
Answer telephone calls directed to the CEO's Office and take messages
Answer all enquiries efficiently and effectively
Provide support to the officers responsible regarding the organization and coordination of internal / external meetings or events
Work continuously to promote the culture of excellent customer service in supporting the Chief Executive Officer achievement of desired objectives
Customer Responsiveness:
Courtesy in dealing with internal staff, external customers and vendors
Expense Management:
Operate efficiently at lowest cost; staying within approved budgets, establish appropriate reporting and control procedures
Decision Making / Problem Solving:
Quick understanding of most relevant problems and the ability to proffer timely, practical decisions
Develop and implement a system for tracking and reporting on the progress of the strategic plan implementation during MPR, Financial Planning etc.
Housekeeping:
Ensure efficient use and management of the Reception & Reception Corner and Conference Room
Proactive management of the CEO's personal itinerary (meals & refreshments, personal visitors, family / friends' birthday & other celebration notifications, reminders and co-ordination of family events, etc.)
Efficient running of the CEO's Office; overseeing its' cleanliness, orderliness and ensuring there is always a sufficient supply of office supplies and stationery
Qualifications
Bachelor's degree in Business Administration or a relevant field with at least 2-5 years of proven experience providing executive support in a structured organization
Membership of ICSAN, CIA is an added advantage
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

Responsible for handling front office reception and administration duties, including greeting guests and offering them beverage, answering phones, handling company inquiries, and sorting and distributing mails.
Job Duties
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
Maintain office security by following safety procedures and controlling access via the reception desk (e.g monitor logbook, access control).
Performs administrative and office support activities
Welcome all visitors with warm welcome and guide them properly
Answer switchboard in accordance with standards of proper telephone etiquette.
Arrange beverage and snacks for GCEO, his visitors or clients during meetings.
Responds to inquiries from visitors, others and refers, when necessary, to the appropriate person, official or department.

Business Strategic Support Manager oversee and co-ordinate strategic business initiatives from development to flawless execution hold team members accountable on Action Items and Time frames.
Assist and communicate with executives in decision-making, program management, and initiative implementation, its review, design, and improvements to organizational structure and coordinate organizational procedures for optimized efficiency and productivity.
Job Duties
Strategy & Business Improvement Support:
Contribute to strategic planning and development as a member of the executive team, specifically advising the CEO as to effects of policies, innovation and strategies on the organization
Provide professional support in strategic tasks and in the day-to-day activities of the business. Prepare and follow-up with meetings, and take responsibility for the preparation of presentations at management level
Track all business objectives across the group and ensure all business head meets their KPI as highlighted in the Business Canvass
Carry out analysis, evaluation and preparation of decision-making recommendations as well as strategic and operational tasks within the company's outlined strategy
Conduct market, customer and competition analyses and evaluate results and KPIs in respect to the CEO's requirements and needs
Complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
Enhance the CEO and the company's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Represent the CEO by email and phone with internal and external stakeholders including investors, clients, prospects and C-level executives and other partners.
Plan leadership team off-site, team-building events, including agenda, content, speakers, logistics and budget.
Basic understanding of branding and general marketing around a mission-driven company.
Adaptable enough to take on additional responsibilities as business needs grow.
Act as a key partner on special projects as needed.

Administrative Support:
Act as the point of contact between internal and external clients

Handles a wide range of executive support-related tasks involving the clerical, administrative function, research and travel management roles
Handles confidential information and communications.
Assist the CEO with daily administrative duties and complete a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Conserves the CEO's time and promote the corporate image by representing the CEO internally and externally; acting as liaison between the CEO, key executives, and the employees.
Support the CEO in his external commitments related to the business and process his activities and / or memberships with other organizations.
Arrange corporate travel and meetings by developing itineraries and agendas; scheduling flights; booking other transportation where needed; arranging lodging and meeting accommodations.
Ensure the responsibilities of the CEO are well executed in line with the expectations of the company's directors according to lawful and ethical standards.
Qualifications
Bachelor's Degree in Business, Communication or a related Commercial field is required.
Previous project management, chief of staff and Strategic operational experience (5+ years)
MBA is a must
Must be analytical with excellent research skills
Fluent verbal and written communication skills.
